When and Why Is Your Consent Necessary?
When you register as a client of Neurodiverse, you provide consent for our principal psychologist and authorised practice staff to access and use your personal and health information to deliver telehealth assessment services.
Access is strictly limited to authorized personnel who require it to facilitate your care.
If we ever need to use or disclose your personal information for purposes outside the scope of this policy, we will obtain explicit additional consent from you.
Why Do We Collect, Use, Store, and Share Your Personal Information?
We collect, use, store, and share your personal and health information primarily to deliver psychological assessment services (including adult Autism and ADHD assessments), compile comprehensive diagnostic reports, handle payment processing, and safely manage our clinical records.
What Personal Information Is Collected?
The information we collect includes:
● Personal identification details (e.g., full name, date of birth, contact number, home address, email).
● Relevant clinical background, developmental history, mental health history, and diagnostic assessment information.
● Psychometric test results and questionnaire responses.
● Billing and payment details (including payment processing via Afterpay or third-party
gateways).
● Details of guardians or support persons (where applicable).
Can You Deal With Us Anonymously?
No.
How Is Personal Information Collected?
We collect your personal information in several ways:
● Directly from you via our website, email communications (e.g., end-to-end encrypted ProtonMail), or telephone.
● Online intake and consent forms powered by Snapforms and Zanda Health.
● Psychometric screening tools and digital testing platforms powered by NovoPsych.
● During live telehealth assessment consultations conducted via Zoom (configured with
healthcare-level encryption, waiting rooms, and disabled cloud recording defaults).
● From third parties (e.g., referring GPs, psychiatrists, or allied health professionals) with
your prior written consent.
When, Why, and With Whom Do We Share Your Personal Information?
We do not share your personal information without your consent, except where required or permitted by law. Situations where information may be shared include:
● Client-Requested Disclosures: Providing diagnostic reports or summary letters to your GP, psychiatrist, employer, or educational institution at your explicit request.
● Third-Party Service Providers: Trusted cloud software platforms (such as Zanda Health, Snapforms, and NovoPsych) that adhere to Australian privacy standards and APPs.
● Legal and Safety Exceptions:
○ Where required or authorized by law (e.g., court subpoenas or statutory orders).
○ Where necessary to lessen or prevent a serious, imminent threat to your life,
health, or safety, or public health or safety.
○ Under mandatory reporting obligations regulated by AHPRA and the Psychology
Board of Australia.
Use of AI Scribes and Note-Taking Tools
We utilize NovoNotes (an AI scribe tool provided by NovoPsych) to assist in accurately
documenting consultation details and generating clinical draft notes.
● Transient Audio: Consultation audio is processed transiently and deleted immediately upon successful transcription. Audio files are never permanently saved or stored.
● Data Privacy & Storage: Transcriptions are de-identified by default, encrypted both in transit and at rest, and hosted on secure Australian servers. Your data is never used to train underlying AI models.
● Consent: Clients retain the right to opt out of the use of AI note-taking tools at any time prior to or during their session.
Overseas Data Storage
We do not routinely transfer or store your personal health information outside Australia. All primary practice data, electronic records, intake forms, psychometric data, and clinical notes are stored within secure, Australian-hosted infrastructure.
How Is Your Personal Information Stored and Protected?
Your personal and health information is held exclusively in secure digital formats. We implement technical and organizational measures to safeguard your data, including:
● Secure practice management software (Zanda Health) utilizing password protections and role-based access limits.
● Secure intake and assessment data handling via Snapforms and NovoPsych.
● Strict adherence to record-keeping standards required by AHPRA and HRIPA (retaining
adult records for a minimum of 7 years from the date of last service).
How Can You Access and Correct Your Personal Information?
You have the right to request access to, or correction of, the personal information we hold about you.
● Requests must be submitted in writing to David Gardner at david@gardnerlr.com.au
● We will will aim to respond to access and correction requests within 1 to 7 calendar days of receipt.
● We do not charge a fee for making an access request, though a reasonable
administrative fee may apply to cover the physical or digital retrieval and transmission of extensive records.
